Parent or Guardian Permissions
The Client will be required to sign a permission form to allow the Photographer to take photos of their family / children / group
Liability
The Photographer / Little Ones Photography is not responsible for any illness, injuries or damage / loss of property to any participating parties. Client(s) will be responsible for their children, themselves and anyone they bring with them to the session (and their belongings), and release the Photographer / Little Ones Photography from any claims against their person, health, property or their business (or any other claim).
Anything broken or damaged by the client / client party at a session, that is not covered by the photographer’s insurance, will be paid for by the client.
Copyright & Penalty
The Photographer / Little Ones Photography retains all copyrights to all images created before, during & after the client’s session, which may be used for marketing / advertising purposes. The Photographer / Little Ones Photography may use quotes from client correspondence for promotional purposes on websites, social media and advertising etc.
Any images provided to the Client may only be printed or used for personal use. Provision of images does not allow for publication of those images, selling or altering of the images without the Photographer’s written permission.
It is illegal to screenshot, copy, scan, download, print, share, alter, or otherwise take without permission any image created by Little Ones Photography / the Photographer during or after the client’s photo session. This applies to images posted in an online proofing gallery, blog, Facebook (or online anywhere), hard copy, printed products or any other images in any other location.
If used commercially without written permission from the Photographer, the Client will be billed accordingly for commercial use.
Similarly, if images are obtained without the Photographer's written permission, the Client will be billed for the top digital package regardless of how many images have been taken without permission.
Co-operation
The Photographer / Little Ones Photography is not responsible for the behavior of the Client / Client group. Non-co-operation may result in the cancellation of the session, or the session ending early if the Photographer deems the session unproductive, is unable to take the required images or feels threatened / uncomfortable in any way. If the session is cancelled / ended early due to non-co-operation or inappropriate / unsafe behaviour, the session is deemed delivered and no refunds will be made. The Photographer will review any images taken and decide if any can be delivered to a partial gallery. The Photographer’s decision is final.
Location
All sessions take place at the Little Ones Photography studio in Wembley, unless otherwise agreed in writing.
Timings:
Sessions start on time. If you are running late, please advise us asap, as late arrival uses up the studio time set aside for you, which limits your session & may result in automatic cancellation if it is not possible to complete the session. If this is the case, any fee paid at booking would be forfeit and a re-booking fee would be required if you would like to reschedule your session. In general, arrival later than 30 minutes after the start of a session cancels the session automatically, and forfeits any payment made. Where sessions are 30 minutes or less, arriving 50% of the time late cancels the session automatically and forfeits any payment made (for example arriving more than 10 minutes late for a 30 minute session automatically cancels the session).
Failure to attend a session, for any reason (regardless of being a free or paid session) forfeits the session, and the photographer is under no obligation to offer an alternative date / time / session or any products, images or any form of recompense in lieu of the missed session.
Pricing
Pricing information is provided in writing (usually via email or messaging) prior to the session. Proceeding with a session is agreement to the pricing quoted.
Where a session exceeds the time / service quoted for, a viewing session will be provided so that the client(s) can see the images created and decide whether to take the package they purchased or upgrade to a higher package. For example, a mini session includes 2-3 set-ups, runs for 60-90 minutes and includes an average of 10-20 images. If the service actually provided includes 5-6 set-ups, runs for over 2 hours and includes 50+ images, a full session has actually been provided; the clients will be provided with a viewing session, where they will be given the option to choose 20 images and pay the balance for the mini session, or to upgrade at prices made available to them. These upgrade prices will not exceed the maximum package price (unless something significant / complicated was added at the client's request).
Payment
Payment terms are as defined for each individual session. Where payment is required in advance, this will cover the time reserved for your session and all consultations, planning, studio set-up etc and is non-refundable.
A booking fee/deposit is required for all bookings, and secures your session & includes consultations, the creation of a bespoke photoshoot for you, the use of beautiful props, blankets and outfits, as well as studio time and set-up for the actual photoshoot. The booking fee/deposit is non-refundable and will be deducted from the final package price.
The booking fee/ deposit may be forfeit (not refunded) due to late arrival (if the session cannot be completed in the remaining time), failure to attend or short notice cancellation of either the photo or viewing session. A new session may be booked with payment of a re-scheduling fee (as deemed reasonable by the photographer). Repeated cancellations or non attendance may require full payment in advance for the session to go ahead.
Where a booking involves package selection in advance of the photoshoot, or no viewing session is required, the remainder of the payment (package price minus deposit) is due at your photo session. Where no package is determined ahead of the session, and a viewing session is required, the remainder of your payment (package/offer price minus deposit) is due at your viewing session. In instances where a client decides to upgrade during a viewing session, payment is due at the viewing session.
Cancellation & Refunds
Pre-booked sessions may be re-scheduled once with at least 48 hours notice. Cancellation or re-scheduling within 48 hours (unless agreed with the Photographer for reasons of ill health) will forfeit the deposit, but the session can be re-booked with a re-scheduling fee.
Where the studio is required to close by law (for example lockdowns during the pandemic), the photographer will make every effort to reschedule sessions where possible when the studio is able to re-open. Some session types will not be able to be rescheduled (for example My First Year type sessions which occur monthly...the sessions which occur during the closed period will not be rescheduled. The next monthly session will happen as soon as possible once the studio is able to re-open and missed sessions will not be replaced.
Failure to attend a session (photo session or viewing session) for any reason (regardless of being a free or paid session) forfeits the session and the photographer is under no obligation to offer an alternative date / time / session or any products, images or any form of recompense in lieu of the missed session.
If the session is cancelled by the Photographer, an alternative date will be provided for an equivalent session. The Photographer will offer the Client a maximum of 3 opportunities to reschedule. If the Client does not accept one of these opportunities within 12 months, the contract is considered fulfilled and no refunds will be made.
If sessions are cancelled due to very bad weather (whereby it is not possible to get to the studio), the Photographer will offer the Client a maximum of 3 opportunities to reschedule an equivalent session. If the Client does not accept one of these opportunities within 12 months, the contract is considered fulfilled and no refunds will be made.
Given the nature of photography and the fact that copies can be easily made, all sales are final. Printed products should be inspected at the time of collection / delivery. We want you enjoy your images, and in the unlikely event that there is a product defect, this will be referred back to the manufacturer to determine if the fault is manufacturing related - if so, the item will be replaced. Their decision will be final
Style
By going ahead with a session, you are confirming that you want the style of photography that Little Ones Photography provides (as seen in examples on the Little Ones Photography website, at trade shows, events etc). If you would like more emphasis placed on a particular type of photography that Little Ones Photography provides (for example more natural images or more posed images etc), this must be discussed and agreed (in writing) with the Photographer in advance of the photo session).
Viewing Session
The standard photography packages (as outlined on the official website) require a viewing session. The purpose of the viewing session is to choose the number of images that the client would like, and to decide product type (e.g. print / digital collections etc).
If you are running late for your viewing session, please let me know asap, as late arrival uses up the studio time set aside for you & may result in automatic cancellation if it is not possible to complete the session. If this is the case, any fee paid at booking would be forfeit and a re-booking fee would be required if you would like to reschedule your session.
Viewing sessions must take place within 4 weeks of the viewing date offered by the photographer. Where a timeframe is agreed, and a specific date and time offered by the photographer, the client must confirm or decline that slot. If the client does not confirm or decline, and the slot passes, this forfeits the viewing session and the photographer is under no obligation to offer an alternative date / time / session or any products, images or any form of recompense in lieu of the missed session.
In some instances, an offer may be made whereby a whole gallery is offered for a fixed price. In such an instance, the Client agrees to receive their whole image gallery (specified in advance of booking whether this will be digital images only or digitals plus prints), without a viewing session (as style, product type and number of images have already been agreed upon in advance of the photo session).
Privacy

Little Ones Photography will never pass your information to any other company or individual.
Little Ones Photography does not collect or store any payment information (payments are made via 3rd party (eg Square) directly.
Offers
Offers are subject to specific terms and conditions (in addition to the terms stated above) and are as follows:
- Offers are valid for the person they are awarded to and are not transferrable.
- Product credit (where provided) is limited to the specific offer provided and is non-transferrable.
- Offers are limited to 90 days unless otherwise stated.
- Only one offer may be applied to a session at any one time.
- Re-scheduling / cancellation / failure to attend a booked session will forfeit the value of the session itself. However, the Client may pay a re-scheduling fee and still receive the credited amount.
- Any booking deposit / retainer paid in advance is subject to the same terms as outlined above (unless otherwise stated in writing prior to the session).
- Prizes and offers are valid only for the baby’s age that it applies to. For example, a certificate for a newborn photoshoot is valid for the period that Little Ones Photography performs newborn photoshoots (e.g. up to the baby’s age of 8 weeks) as stated on the website.
- The recipient of an offer may upgrade their package if desired. The client may only upgrade the value / package of the same type of session.
- There is no cash alternative
Model Call participants, Prize Draw winners (and runners up), raffle winners etc are subject to the same additional terms and conditions as stated for offers.
ModelCalls
From time to time, model calls are held in order to showcase new set-ups, props, test new concepts etc. The purpose of model calls is to showcase the images taken at the session, including (but not limited to) use on the website, social media and other marketing activity. The model call client will receive a free photoshoot (and on occasion, a pre-determined number of images / prints) in exchange for the photographer using the images for marketing purposes.
Should any session (photo session or viewing session) be cancelled / not be attended by the client for any reason at the designated time, the model call offer is cancelled and the photographer is not obligated to offer anything in its place (no additional sessions, images, prints, cash alternative etc will be provided by the photographer).
Viewing sessions must take place within 2 weeks of the viewing date offered by the photographer. Where a timeframe is agreed, and a specific date and time offered by the photographer, the client must confirm or decline that slot. The client agrees that should they later withdraw consent for the images to be used for marketing, social media (or any other use) by the photographer, they will pay in full for the session & any images received at whatever the full rate is at that time. If the client upgraded to a full package, they would be required to pay the full package cost (minus anything already paid). The client agrees not to alter the images in any way (e.g. using editing filters etc), to tag the photographer in any social media posts and provide a review.
Gift Certificates
Gift certificates are subject to specific terms and conditions (in addition to the terms stated above) and are as follows:
- Gift certificates are valid for the person they are gifted to and are not transferrable.
- Product credit (where provided) is limited to the specific offer provided and is non-transferrable.
- Gift certificates are valid for a maximum of the baby’s age that it applies to. For example a certificate for a newborn photoshoot is valid for the period of time that Little Ones Photography performs newborn photoshoots (for example up to the baby’s age of 8 weeks, as stated on the website).
- Only one certificate may be used at any one time.
- Only original certificates will be accepted and must be presented before booking in order for booking to be confirmed. Failure to provide the certificate will invalidate it and any pre-payment received will be forfeited.
- Re-scheduling / cancellation / failure to attend a booked session will forfeit the session itself. However, the client may pay a re-scheduling fee and still receive the number of products stated on the gift certificate.
- The recipient of a gift certificate may upgrade their package if desired. The client may only upgrade the value / package of the same type of session.
- There is no cash alternative
